Terms of Service
By accessing the tuition services, you agree to the following terms and conditions. If you disagree with any part of these terms and conditions, you must not use the service.
Fees and Payment
Payment must be made at least 24 hours before the introductory session commences.
After the introductory session, Wheal Education Ltd will invoice for the following month’s/block’s sessions. All invoices must be paid in full upfront via electronic bank transfer before any sessions can occur. This secures your child’s regular time slot and ensures I can plan lessons for them.
Please note that session fees are not refundable if a pupil misses learning time due to behaviour that prevents participation.
How Payments and Attendance Work
Because each place is held exclusively for your child, I cannot give refunds for sessions missed due to illness or absence.
If something unexpected happens, such as illness, I will do my best to offer an alternative slot for the session. However, because my timetable is often very full, this may not always be possible. In these cases, the session will still be charged and not be credited forward. If I need to cancel a session, as much notice as possible will be given and a credit will be applied toward the next month’s tuition.
If you have a holiday planned, let me know at least a week in advance and I will credit those sessions toward the following month.
To cease tuition, please give one month’s notice so we can wind up positively and celebrate your child’s progress. Any sessions already paid for are non-refundable.
Parent/Carer Obligations
The Parent/Carer must provide a quiet place for the pupil to work, free from interruptions and with access to suitable, functioning equipment.
Sessions will begin promptly at the agreed time for the agreed duration.
The pupil will need something to write with - a pencil for maths, a pen or a pencil for English. Paper will need to be provided - squared for maths and lined for English. It is suggested to keep these compiled in a folder or exercise book. The pupil must have something to write on during the session, such as a whiteboard, tablet or scrap paper.
Free or digital resources will be utilised as much as possible however, I may make reasonable requests for additional purchases such as practice assessments, workbooks, or other suitable resources to support learning. It is the responsibility of the Parent/Carer to purchase these materials. The Tutor does not accept responsibility for exam results.
Behaviour and Engagement
Creating a supportive and respectful learning environment is central to my approach. I understand that children’s emotional and behavioural regulation can vary, and will respond with empathy and professionalism.
During tutoring sessions pupils are encouraged to engage in a way that allows learning to take place safely and effectively. In the rare event that a pupil’s behaviour becomes significantly dysregulated, I will take compassionate steps to support the pupil and protect the learning environment.
Group Learning
Group sessions are viewed not only as a space for academic growth but also a valuable opportunity for children to develop essential life skills. Learning how to work collaboratively, communicate effectively, and show empathy and understanding toward others is a vital part of every pupil’s development.
I will respond using supportive strategies that preserve the pupil’s dignity and minimise disruption to others. The aim is always to maintain a positive group dynamic while helping each learner feel understood and cared for.
If your child has any diagnosed or emerging special educational needs or circumstances that may impact their regulation or engagement, I ask that you share this during the initial consultation. This enables me to plan proactively and tailor support to meet your child’s individual needs.
Lateness
If pupils are not present to start the session after 15 minutes, the session will be cancelled and non-refundable. If pupils join the session before then, the lost time will not be made up and the session will finish at the usual time.
Safeguarding
The Parent/Carer must not record or take any photos during the sessions. I may record sessions or take photos, but only with parental permission and that of the pupil.
In some cases, I may wish to share supportive messages or resources directly with a pupil outside of a session —such as a reminder of a helpful strategy, encouragement, or a wellbeing check-in. This can be particularly valuable in supporting ongoing connection, confidence, and emotional regulation.
In line with safeguarding best practices, such communication will only take place with the explicit consent of the Parent/Carer. All messages will remain professional, transparent, and appropriate in tone and content.
Where possible, communication will be shared via the Parent/Carer or through agreed channels, and records of all exchanges will be kept.
During sessions, a responsible adult (other than the Tutor) must always be present at the premises during tuition. If the Tutor has any safeguarding concerns, any relevant agencies will be notified. The Tutor has an enhanced Disclosure and Barring Service (DBS) certificate.
Homework
Research suggests that at primary age, homework does not have any significant impact on progress – better to let them rest, play and read! However, I may set some optional practise, play or preparation tasks at their own professional discretion.
Feedback
Brief feedback for Parents/Carers will be provided at the end of the session. For more detailed feedback, this time must be deducted from the session time.
Approval
Acceptance of the services will be taken to represent agreement to these Terms of Service.
